Member Services (Customer Service) Associate
Status: Full-time (40 hours/week)
Job Overview:
Provide helpful, accurate and prompt responses to all requests and orders. Maintain consistent quality service and support to A.R.E. customers, members and staff. Maintain a daily goal of providing a service that satisfies.
Responsibilities (include but are not limited to):
- Provide high-quality customer service in responding to and providing technical assistance for user requests/questions submitted by email/phone.
- Respond to requests by phone, mail, email and internet following the Standard Operation
- Procedures (SOP) for the Customer Service Department.
- Accurate data entry of requests into order entry system.
- Maintain up-to-date knowledge of current offers, promotions and codes.
- Accurate data entry from several different astrology programs; assemble astrology charts for each order entered.
- Call center responsibilities to include processing phone orders from 800 number queuing system directly into order entry system.
- Data entry of orders of cash and credit card payments; balance batch totals with entry totals on a daily basis.
- Achieve resolution to the customer’s satisfaction and assure that their needs are met, which may involve, but is not limited to: update of customer records, order entry, research questions and customer assistance with internet issues.
- Assist other department staff with backlogs, schedule coordination in order to meet all department deadlines.
- Cross-train to handle other responsibilities within the department.
- Perform other related duties, special projects, and tasks as required and assigned.
- Work as a team with Supervisor and Director in a professional manner.
- Other related duties, activities and responsibilities as needed.
Required Education and Experience:
- High school diploma with business training experience or equivalent required.
- Two or more year’s customer service and data entry experience required.
- Minimum two years’ experience with Microsoft Office products and Internet Explorer required.
- Any combination of education and experience totaling a minimum of three (3) years.
Required Education and Experience:
- High degree of analytical ability required.
- Excellent computer skills required in working with Microsoft Outlook, Word, and web-based Internet Explorer.
- Must have excellent oral and written communication skills.
- Demonstrated ability to interact with people and solve problems in large, busy, noisy office.
- Must be well organized, detail-oriented, accurate and able to handle multitasking with ease; attention to detail is essential.
- Ability to set priorities, using values of departmental procedures, departmental deadlines and urgency as some of the criteria.
- Ability to prioritize and handle several projects simultaneously.
- Ability to work well in a team environment as well as independently.
- Work performed under very broad supervision; requires regular exercise of independent judgment.
- Demonstrated ability to keep confidential all Customer Service and A.R.E. related information, including donor, member, customer and staff information required.
- Demonstrated skills in managing functions requiring discretion and sensitivity required.
- Demonstrated excellent customer service skills (internal and external customers).
- Tact, diplomacy and the willingness to be helpful are essential.
- Emotional intelligence and maturity – demonstrating adaptability, engagement and enthusiasm.
- A good sense of humor.
- Prefer knowledge of and acceptance of the key principles in the Edgar Cayce readings, particularly kindness, active patience and a service orientation.
- Ability to perform work under regular supervision, but may require the ability to exercise independent judgment.
- Must be able to work calmly amid multiple interruptions and distractions

- Ability to work a flexible schedule including some evenings and weekends on occasion.

- This position acts continuously as a representative of the A.R.E. as an organization; must project a positive image as reflected by the philosophy of the key principles in the Edgar Cayce readings.
- Effective performance of this position is critical; position has a major effect on revenues and significant financial contribution to the organization.
Physical Requirements:
- The ability to move between buildings on uneven ground and to use staircases in historical buildings without elevators is required.
- Ability to life and carry 25 lbs. of boxes of materials/supplies and transport over uneven ground on a regular basis is required.
- Ability to stand for long periods; to stoop, lift, twist, bend; to frequently lift 25-80 pounds.
- Requires lengthy periods of sitting and using a computer keyboard, looking at a computer screen.
