Terms and Conditions: Tours and Travel

Tour Details

A.R.E. travel covers transportation from meeting point, lodging, excursions, entrance fees, the services of expert professional guides, A.R.E. resource leaders, and meals as noted. We pride ourselves in making travel carefree and complete in every detail. All fees are based on current rates of exchange and present listed fares, and are subject to change. A.R.E. will make every effort to maintain the listed price. Fares are based on double-occupancy in twin-bed rooms (A.R.E. will make every effort to accommodate your roommate requests, however, these requests cannot be guaranteed.) If you prefer private room accommodations, there is a single supplement fee.


Items Not Included

Transportation from your home to the starting point of the tour and return, airport taxes, passports, visas (unless otherwise noted), excess baggage charges, laundry cleaning, telephone calls, telexes, faxes, cables, wines, liquors, beer, mineral water, soft drinks, coffee and/or tea (except during meals), meals not stated in the itinerary, room service, items of a personal nature, gratuities for photos fees, and cancellation insurance.


Deposits for Tours are Non-Refundable. However, the deposit funds are kept on your account for 365 days from the date of cancellation, to be used toward any A.R.E. event (tour, conference, etc) within that 365 day period. Whatever deposit monies are not utilized within that time frame, will be considered a donation and placed into our general fund. All tour monies received, less a $250.00 handling fee, will be refunded for cancellations received in writing sixty days or more prior to departure. A cancellation charge of $350.00, plus unrecoverable monies from airlines, accommodations, and other deposits made upon your behalf, will be withheld for cancellations received in writing fifty-nine days or less prior to the date of departure. No refunds will be made for cancellations received the day of departure or for any portion of the trip unattended. A $350 late-registration fee applies to registrations made thirty days or less before the tour departs.


A.R.E. acts only as an agent for the suppliers and contractors providing air or other transportation, hotels, and sightseeing activities; and assumes no responsibility, however caused, for your personal injury or personal property loss or damage in connection with any service. For any circumstances arising as a result of military, terrorist, political action, weather, acts of God, or any other circumstances over which A.R.E. has no control, A. R. E. shall not be liable to you. A.R.E. reserves the right to alter, change, or omit any part of the itinerary, reservation, conveyance, or routing at any time without notice, where necessary or deemed advisable for your comfort and well-being.

Travel Insurance

A.R.E. provides accident and sickness insurance as a part of your travel program. This coverage is also good for medical evacuation if the need should arise. We are proud to be one of the few non-profit associations that offer this service as a part of our travel programs. The accident and sickness insurance paid for by A.R.E. does not cover cancellations. If you wish to purchase cancellation or extra baggage insurance, it is optional; however, we strongly recommend it. On advancement of deposit to A.R.E. you agree to be bound by the terms and conditions listed here.
