Status: Full-Time; 40 hours/week
Job Overview:
This position provides varied and complex administrative support to the Chief Executive Officer (CEO) of Edgar Cayce’s Association for Research and Enlightenment (A.R.E.), a non-profit organization with an international reach founded in 1931 and located in Virginia Beach, VA. The CEO also oversees the Edgar Cayce Foundation and Atlantic University. The organization’s mission: To create opportunities for profound personal change in body, mind, and spirit through the wisdom found in the Edgar Cayce material. Further, the organization promotes learning through study groups and affiliate organizations located world-wide. Conferences, programs and travel are coordinated by the A.R.E. to further the learning and development found in the Edgar Cayce work. This position is more complex than an administrative assistant to an executive. The successful candidate will be required to work on-site.
Responsibilities (include but are not limited to):
- Provides high-level and complex administrative support to the CEO, including but not limited to maintaining the calendar, scheduling meetings, taking meeting minutes, correspondence etc.
- Coordinates the implementation of the CEO’s vision and engagement initiatives with marketing and public relations staff on media, networking and outreach strategy. At times may draft news releases, media statements and other public-facing communications.
- Works cooperatively with all other directors, managers, members of the Board of Trustees and Corporate Secretary under the direction of the CEO in keeping with the ideals, mission, vision and long-range plan for the organization.
- Oversees and coordinates a variety of initiatives administered through the office of the CEO.
- Serves as a representative of the CEO and A.R.E., including greeting visitors, responding to visitor and member needs and requests.
- Manages the office of and visitors/guests for the CEO.
- Provides administrative support to Directors and departments as directed by the CEO.
- Assists in the compilation of annual budgets and the review of A.R.E.’s monthly financial reporting in coordination with the organization’s financial leadership.
- Assists the CEO in relating with and to A.R.E. donors in coordination with the Office of Philanthropy.
- Under the CEO’s direction, schedules media interviews and outreach activities, coordinates in-house podcasts and video broadcasts as well as appearing on those of other organizations and media Provides strategy for media calendar including but not limited to scheduling Media Outreach, i.e., CEO media engagements, podcasts, news events, broadcasts, interviews, etc. Serves in an “Associate Producer” role for researching and procuring inviting speakers, experts, authors, media commentators, etc., to engage in ARE conferences or one-day, or one-evening event appearances.
- May be responsible for the creation and/or augmentation of conference/event topics, segments, or feature reports.
- Acts as liaison between the Office of the CEO and the city of Virginia Beach, for special projects including tourism, economic development and outreach to the city.
- Coordinates special projects undertaken through the office of the CEO, such as the Edgar Cayce Scholarship Program and the Home Study Research Project Program.
- Performs other duties related to these essential functions as assigned.
Required Education and Experience:
- Preferred: Four year college degree.
- Required:
- High school education and two years’ business school or equivalent required.
- Five or more years of progressively responsible administrative support experience is required, two or more of which must be at an executive secretary or assistant to a Chief Executive Officer, Vice President or equivalent level.
- Knowledge of the Edgar Cayce work, readings and philosophy, general metaphysics and holistic mind, body and spirit approaches to personal and community growth and living.
- Knowledge and interest in comparative spirituality preferred.’
- Knowledge of Aptify is a plus.
- Relevant and equivalent work experience includes volunteer work, internships, freelance work, and transferable skills.

- Fluency in Microsoft Office programs, customer relations marketing programs.

Physical Requirements:
- Ability to sit for periods of time looking at computer screen; manual dexterity and coordination are required while operating equipment such as computer keyboard, mouse;
- The position may periodically require extended working hours and/or on weekends.
